What is Document
Imaging?
Document Imaging simply means storing your records
on an electronic media such as CD-ROM, so that it's
easily accessible through the computer.
Why should I Image my files?
- All of your records will be accessible in seconds
- You will then be able to view, print or fax these documents (in their original format), immediately from your computer.
- 10 CD's would be a stack about 6" high and would hold the data of 10 filing cabinets, or the space of 120 cubic feet.
- You can look through all 10 CD's in minutes without leaving your chair or ... you can look through 40 file cabinet drawers with about an hour of physical labor.
- There is no need to photocopy again. Just print out an exact duplicate of the original. Print out only the portion of the file you need.
- Your files will never be lost again and your filing system will not change when you have employee changes.
What equipment do I need?
You probably already have all the equipment you need
at your desk right now,
- 486 IBM compatible computer with 8MB RAM
- CD-ROM Drive and Microsoft Windows operating system
- The only other thing you would need is the software to access your Imaged data, which we provide.
What do I have to do to Image my
files?
- Tell us how you want your files indexed (By name, single word, date, type of file, etc.)
- Prepare your documents (i.e. remove paperclips, staples, etc.. or we can do it for you, but we'll have to charge a small fee for this service)
- Let us pick up the documents you want Imaged or make arrangements with us for on-site scanning of your files
....from this point we'll handle the rest, which includes:
- scanning your documents into our computers, creating exact images of them
- the index scheme that you indicated is then implemented and verified
- after everything has been verified, your records are burned onto CD for lifetime storage
- After the above steps are completed with complete quality control procedures at each step, we return your files to you on CD with installation and training of the software and retrieval procedures.
